Overview

The Short Version

Camp Pawprint collects only the personal information needed to run the event safely and communicate with attendees. We do not sell your data, send marketing email, or share your information with third parties except where strictly necessary for the event (e.g. emergency services in an actual emergency).

We understand that many people in our community value privacy highly. That's why we ask for legal names and ID only for age verification at the gate — and not one piece of information more than we genuinely need.

Section 1

What We Collect

Information you provide when registering

  • Legal name — used only to verify your photo ID at the gate
  • Fursona / preferred name and pronouns — displayed on your badge if provided
  • Email address — your account login and the address we use to contact you about your registration
  • Password — stored as a salted hash; we never have access to your plaintext password
  • Emergency contact name and phone number — accessed only in a genuine medical emergency
  • Dietary restrictions / allergies — used for communal meal planning
  • Fursuit attendance flag — used for logistics and site planning

What we do NOT collect

  • Date of birth (we verify age by checking your ID in person, not by storing your birthdate)
  • Payment card details (payment processing is handled by a third-party processor; we never see card numbers)
  • Social media usernames or handles (the "how did you hear about us" field is optional and free-text)
  • Location data, device identifiers, or tracking cookies
Section 2

How We Use Your Information

Identity verification at the gate

Your legal name is compared against your government-issued ID by event staff at check-in. It is not stored on your badge or visible to other attendees.

Registration communications

We will email you to confirm your registration, notify you when pricing is set, ask you to confirm your spot, and send pre-event logistics information. We do not send newsletters or promotional email unrelated to your registration.

Safety and emergencies

Emergency contact information is kept offline-accessible to event organizers solely for use in a genuine medical emergency. It is not accessible to general staff or other attendees.

Event logistics

Dietary information and the fursuit flag are used for campsite planning (meal quantities, shaded setup space, etc.). This is aggregated for planning — individual entries are not shared with vendors or other attendees.

Section 3

Who Has Access

Your registration data is accessible only to Camp Pawprint organizers and designated staff members on a need-to-know basis

We do not share your data with:

  • Other event attendees
  • Advertisers or marketing companies
  • Other furry events or communities
  • Any third party, except emergency services if required in a life-threatening situation
Section 4

How Long We Keep It

Registration data is retained for a reasonable period after the event for accounting and dispute resolution purposes, then securely deleted. Specifically:

  • Emergency contact data is deleted within 30 days of the event ending
  • Account data (name, email, badge info) is retained for up to 12 months post-event, then deleted unless you register for a future event
  • You may request deletion of your account at any time by contacting us
Section 5

Your Rights

You have the right to:

  • Access — request a copy of the personal data we hold about you
  • Correction — ask us to correct inaccurate information (you can also update most fields yourself via your dashboard)
  • Deletion — request that we delete your account and associated data
  • Withdrawal — cancel your registration at any time (subject to the refund terms in the Participant Agreement)

To exercise any of these rights, contact us. We will respond within 10 days.

Section 6
